This policy applies to: (a) business clients who subscribe to the Service, and (b) visitors who interact with a Syntene-powered concierge on a client's website.

2. Roles & Who Is Responsible for What

Our business clients operate their own concierge and are the data controller of the lead information their visitors provide - they decide why that information is collected. We act as a data processor on their behalf: we collect, store, and deliver that information solely to operate the Service and pass qualified leads to the applicable business.

We are the controller of the limited account information clients give us when they register (such as their email address, phone number, and business details).

3. Information We Collect

Account & onboarding information: When you register a concierge, we collect your email address, phone number, business name and description, and a password (stored in a secure, non-recoverable hashed form). This is used to create and protect your account and to send service notifications.

Conversation data: When a visitor chats with a concierge, the conversation - including any name, contact details, and preferences the visitor shares - is collected and delivered to the business that owns that concierge. It is used exclusively for lead qualification and follow-up by that business.

Browser storage: We use your browser's local storage to preserve session state and a previously provided name for your convenience. We do not use advertising, tracking, or profiling cookies.

Usage metadata: Basic technical metadata (IP address, approximate device type, timestamp) may be processed by our hosting and security infrastructure to protect the Service from abuse, fraud, and attacks. We do not use this data to identify you beyond security purposes.

4. How We Use Information

We do not sell, rent, or trade personal information. We do not use it for advertising or to build profiles for unrelated purposes.

5. AI Processing & Automated Decisions

Conversations are processed by third-party AI language models to understand visitor needs and to qualify leads. Only the minimum conversation content necessary is transmitted to those providers for the purpose of generating a response.

Our Service uses automated lead scoring to prioritise enquiries. This is a simple categorisation based on the information provided (e.g., completeness of contact details and stated intent). If you believe a decision affecting you was made unfairly, you may request human review by contacting us at [email protected].

AI-generated replies and summaries may contain errors. Concierge output is not professional, financial, legal, or medical advice, and should not be relied upon without verification.

Lead and conversation data is retained while the associated business account is active. Upon termination of an account, data is deleted within 30 days.
